Mission of the Role

The Project Manager (“PM”) role at Authentic is a team member who both relishes in the nitty-gritty details of agency process and enjoys the personal aspects of building rapport with clients and teammates. The position is administrative at its core but quickly leans into traditional "project management" duties.

The PM is a buttoned-up, organized, detail-oriented personality who is comfortable collaborating with various personality types.

At its foundation, the PM supports projects through administrative duties as well as responsibilities that relate to operational action items to ensure the team is always up to date. They are eloquent with their communication and provide substantial value in keeping schedules up to date while ensuring project "next steps" are well organized and documented.

The PM is comfortable pushing projects forward and has personal accountability and ownership of their work. They aim to be the glue that supports and brings together all foundational aspects of the business.

Built-In Must Haves

  • Remote project management agency experience.
  • Comfortability working "solo" with innate personal scheduling boundaries.

  • A natural sense of personal accountability.

  • Willingness to perform with an existing process.

Responsibilities

Daily

  • Coordinate day-to-day agency efforts on behalf of client partner requests, as well as ongoing internal efforts.

  • Communicate with team members and clients, deploying excellent listening, verbal, and written communication skills.

  • Schedule meetings and ensure project schedules are up-to-date in project management software (currently Asana).

Weekly

  • Join the weekly Active Projects call and Retained Projects call in order to prepare weekly status updates, delivered as polished communication to each client to begin the week.

  • Join the Scheduling call on Friday to prepare for the week ahead. Ask questions, identify project blocks, and coordinate with the team EOW.

  • Capture pertinent communication and creative project expectations on all important client meetings. Support in follow-up with a distilled recap, feedback, and any next steps.

  • Examples: schedule the next client meeting, prep blank feedback docs, handle client comms, adjust timelines, etc.

Monthly

  • Maintain the ability to juggle multiple project/account management tasks simultaneously while remaining steadfast with sharp attention to detail.

Quarterly

  • Make recommendations to company ownership for improving internal and external processes.

  • Partake in quarterly review calls with company leadership.

Yearly

  • Take part in yearly performance reviews.

  • Set yearly goals and objectives.
